Purchasing An Insurance Policy

• E-MAIL ADDRESS
First of all, we need to send you a confirmation email containing the details of you and the policy which you have just bought. This is a mandatory field because it is the first option if we need to contact you regarding your policy or any claims which might be pending on your policy.

Secondly, particularly if you have an Annual Multi-trip policy, we are required by the FSA to let you in good time when your policy is about to expire. This will help you in making decisions about whether to renew your cover and avoid the danger of you travelling uninsured after the expiry of your policy.

Thirdly, we will ask you whether you would like be kept up to date with information on Bikini products and services. This is an opt-in/opt-out selection but we would like to keep in touch.Don't worry, we won't send you any information unless you want it. You will also always be given the opportunity change your mind and unsubscribe to these type of e-mails.

Obviously, this is an insurance policy which you are buying and we need to know exactly who you are and where you live. We also need to send you a pack in the post confirming your policy and also containing information on how to get in contact with us if you need help while abroad and what to do in an emergency.

We will only ever use this information for reply purposes. We won't contact you by post out of the blue (if you want us to stay in touch, we can do that by email - but only if you want).
When you make your purchase, as well as sending you a confirmation email, we may also send a confirmation text to your mobile phone and we will hold your mobile phone number on file in case we need to contact you in an emergency.

None of the information we hold on file about you will ever be used for marketing purposes or passed on to a third party for whatever reason; we hate that as much as you do.

• CREDIT CARD INFORMATION
First of all, once you click 'Buy Online', you enter the quotation and policy sales part of the DOGTAG website, you will see that the URl at the top of the website has changed to one called "https://www.secure-travel-insurance.com/dogtag/secure". This is because you have left the information or, as we call it 'magazine' part of Dogtag and entered a fully encrypted and secure area. Dogtag has pioneered the use of seperate, fully secure server locations to handle transactions. Our systems have been written from the ground up to protect customer data and transactional security.

In order to effect the transaction, we need to collect your credit card details at the Payment stage of buying your policy. However, although you are asked to type in your credit card details, they are not stored by us at all. Instead your credit card details are forwarded, fully encrypted to the company (SagePay) who manages our credit card transactions and interface with Streamline, the gateway to our banking system. Although we do not store credit card information here, SagePay do. They are fully accredited to do so and by their doing so, we are able, remotely, to effect refunds to your credit card without knowing or having access to your card details.

Where we need to take additional payments, say, for a policy upgrade, this is considered a fresh transaction and you must be involved at that stage, either on the phone or via our payment interface on the website. Because we do not store credit card information here, whilst we can remotely effect refunds, we have no facility or ability to take additional payment without your input. We think that this is the safest and most secure way to handle customers' money.

Other Uses of Information

• OUR ASSOCIATES

Our associates will need to process the data you provide to fulfil your insurance policy. They are:

(1): The fulfillment service that prints your insurance policy summary document, laser engraves your Dogtags and posts them off to you.

(2): The insurer that underwrites your policy and operates our emergency assistance service and claims handling. These companies, like Dogtag Ltd, adhere to the Data Protection Act and will act only on our instructions. They will not hold or use the information in any other way.

• WEBSITE ANALYTICS

We also use information acquired through the website the better to understand how the Bikini website is being used and how it can be improved. This type of data is called 'aggregate data' and does not identify individuals or any data associated with them. Instead it highlights trends e.g. number of website visitors or pages visited. This aggregate data is collected on a regular basis and may occasionally be communicated to selected business partners.
